Share an Incident
You can email a single incident's report directly from its detail page — for example to a manager, a board member, or the homeowner involved. The recipient gets a formatted email with the incident's report attached as a PDF.
Before you start
Sharing requires incident write permissions on your role. If you don't see the share action on the detail page, ask your community admin about your permissions.
Share an incident by email
- Step 1: Open the incident from Reporting > Incidents (see Working an Incident).
- Step 2: Click Share in the action bar. On smaller screens, choose Share via Email from the actions menu.
- Step 3: The Share Incident Report window opens, showing which incident you're about to share.
- Step 4: Choose your recipients (you can combine both kinds):
- Pick staff members from the searchable list — tick the checkbox next to each person you want to include.
- Or use Add Custom Email to send to any address, such as a homeowner — type the address and add it. Addresses are validated, and duplicates are caught before sending.
- Step 5: Your chosen recipients appear as removable chips with a running count. When the list is right, click the send button — it shows how many recipients the report will go to.
You'll see a confirmation once the report has been sent, naming the number of recipients.
What the recipient receives
Each recipient gets an email from MyWatchtower containing:
- The community's name, the incident's type, and the date and time it occurred (in the community's timezone).
- The property address, when the incident was filed against a property.
- The name of the staff member who shared it.
- The incident's report attached as a PDF file, named after the incident's type and date.
The recipient does not need a MyWatchtower account to read the report — everything they need is in the email and its PDF attachment.
