The Community Log is a shared log for your community. Community staff record each incident in it, for example a damaged mailbox, a noise complaint or a parking violation. Each incident has a type, a date and time, and a status. It can also have a location, notes and attachments. An incident stays active until a person closes it. A person can open a closed incident again.
In the app, the navigation item of the Community Log shows the name Reporting.
Before you start
- The Community Log must be on for your community. A community Admin turns it on in the community settings and sets the incident types.
- Your role needs Incident documentation set to View. By default, the Admin, Supervisor and Gate Attendant roles have this permission. The Resident role does not have it.
Open the Community Log
1. Select Reporting in the navigation.
2. The Dashboard tab opens. To see a different part of the Community Log, select a tab at the top of the page.
The Community Log has three tabs: Dashboard, Incidents and Report History.
Dashboard
The Dashboard tab shows the incident activity of your community on one page:
- Three shortcut cards: Report Incident, Generate Report and View All Incidents.
- Four counts: Total incidents, This month, This week and Today. Each count includes the active incidents and the closed incidents. This week starts on Sunday.
- Recent incidents: the three newest incidents. Select an incident to open its page, or select View all to open the Incidents tab.
- Incidents by type: a ring chart of the types of the 50 newest incidents.
Incidents
The Incidents tab lists the incidents of your community. On a computer, each row shows the type of the incident, its property or Pinned location, its status, the person who reported it, the start of its notes, and its date and time. Select a row to open the page of the incident.
Use these controls to find an incident:
- Active and Closed: select one to show the active incidents or the closed incidents. The list starts with Active.
- Search incidents: type 3 or more characters. The search finds text in the type, the notes, the street of the property and the name of the person who reported the incident.
- Date range: select Today, Last 3 days, Last 7 days, Last 30 days or Custom range. The list starts with Last 7 days. A custom range can be up to 100 days. On a phone, the date range is in the Filters sheet.
To record an incident, select New incident. The Report New Incident form asks for the incident type and the date and time. You can also add a location, notes, and photos or files. The location is a property or a pin on the map. If the incident type is about a vehicle, the form also asks for the license plate.
To export the incidents as a PDF file or a CSV file, select Generate report.
On the page of an incident, you can read its details and attachments. You can also export it, share it by email, close it or open it again, edit it, and delete it.
Report History
The Report History tab lists the daily incident report emails that MyWatchtower sent for your community, newest first. Each row shows the day that the report covers, the number of incidents, the incident types, the number of recipients and the time that the email went out.
Select a row to see the recipients of that email. To see the incidents of that day on the Incidents tab, select View Reports.
Who can see each part
The Community Log switch and the permissions of each role work together. While the switch is off, nobody sees Reporting in the navigation. While it is on, each part shows only to a role that has its permission.
Your community Admin sets these permissions in the role editor, under Incidents & alerts:
- Incident documentation set to View shows Reporting in the navigation, the Dashboard tab and the Incidents tab.
- Incident documentation set to Add & edit shows New incident and the Report Incident card. On the page of an incident, it shows Share, Close, Reopen and Edit.
- Incident documentation set to Delete shows Delete on the page of an incident.
- Reported incidents set to View shows the Report History tab.
- Reported incidents set to Add & edit shows Generate report and the Generate Report card. On the page of an incident, it shows Export.
By default, the Admin, Supervisor and Gate Attendant roles have all of these permissions. The Resident role has none of them.
If you do not see Reporting in the navigation, ask your community Admin to check the permissions of your role.
