Edit a Credential

Change the groups or access levels and the end date of a credential, then check the result on its page.

Community staff can change a credential in Access > Credentials without a delete and a new credential. One Edit credential dialog serves Brivo and HID communities. For the full life of a credential, see *Managing Access Credentials*.

Before you start

To edit a credential, your role needs Key fobs & cards set to Add & edit. By default, the Admin, Supervisor and Gate Attendant roles have it.

Find the credential

1. Select Access in the navigation, then select the Credentials tab.

2. To find the credential, type at least 3 characters in Search. The search finds the holder, the property, the vehicle, the card number and the label.

3. To narrow the list, use the Status filter (All, Active or Suspended) and the Assignment filter (All, Assigned or Unassigned).

Edit the credential

1. Select the ⋮ button on the row of the credential, then select Edit. The Edit credential dialog opens.

2. Change the fields that you need. The dialog puts the fields in sections: PIN (HID PIN credentials only), Groups or Access levels, and Expiry. Each section is described below.

3. Select Save.

On a phone, the dialog fills the screen.

Groups or access levels

On Brivo, the section and its field are Groups. On HID, they are Access levels. Each selected group or access level shows as a chip. To add one, select it in the list. To remove one, select the x on its chip.

  • Brivo: the groups belong to the person, not to the credential. The dialog starts with the current groups of the holder. When you save, the list becomes the full set of groups for each credential of that person. If you remove every group, the dialog warns you that the save removes every group membership of the person.
  • HID: the access levels belong to the credential. The dialog starts with the current access levels of the credential. You must keep at least one access level.

The doors and the schedules of a group or an access level change on its own page. See *Groups, Schedules, and Access Levels*.

Expiry

  • To keep the credential with no end date, leave Permanent (no end date) on.
  • To set an end date, turn off Permanent (no end date), then choose the day in Expires on. The day cannot be in the past.

The credential stops working at the end of that day. Each day after that, MyWatchtower deletes the credentials whose end date has passed. If you want to keep the record, suspend the credential instead.

You cannot change the start date of a credential.

PIN (HID only)

For an HID PIN credential, the dialog has a PIN section. Turn on Change PIN, then type the New PIN. The PIN must have exactly 6 digits.

What you cannot change

The card number is the identity of the credential. To change a card, delete the credential and create a new one.

What happens after you save

  • Brivo: MyWatchtower saves the change in Brivo at once. If Brivo refuses the change, the dialog shows the error.
  • HID: MyWatchtower sends the change to the controllers automatically. It can take a short time. If the change cannot go into the queue, the message after the save tells you to save the credential again.

On Brivo, edit a credential only when it has a holder. A save on an unassigned Brivo credential fails.

Changes that use a different action

To give the credential to a different holder, use Assign, Reassign or Unassign. To stop the credential for a time, use Suspend. To remove the credential for good, use Delete.

Check the result

Select the row of the credential to open its page. The page has no Edit button. It shows:

  • The status of the credential: Active, Upcoming, Expired or Suspended.
  • The Property, the Credential type, the Reference ID and the Field values.
  • The Start date and the End date, when the credential has them.
  • The groups (User groups) on Brivo, or the Access levels on HID.
  • The holder, in Belongs to.

In the list, a credential with an end date shows Temp. A credential with no end date shows Perm.
