This guide is for community staff and Admins who manage access credentials — cards, PINs, and vehicle credentials — under Access > Credentials. The tab appears when your role can view credentials and your community uses Brivo or HID hardware. Whichever provider your community runs, the workflow described here is the same.
The Credentials list ("Manage access credentials and permissions") gives you three tools:
Each row shows the credential's format (or the make, model, and plate for vehicle credentials), a field-values chip such as the card number summary, and a holder-type chip: Resident and Staff in green, Guest in blue, Vendor in orange. Every row also carries a validity chip — TEMP for a credential with an effective date range, PERM for one with no expiry — with a tooltip spelling out the validity. Look out for Unassigned, Suspended, and Vehicle badges — suspended rows appear dimmed. To issue a vehicle credential, see Vehicle Credentials.
New credentials are issued with the three-step New credential wizard — see Create a Credential. If the Create Credential button is disabled, create at least one group (Brivo) or access level (HID) first — the tooltip tells you which.
Assign, Reassign, and Unassign are available from a row's overflow menu on both Brivo and HID credentials:
Details and rules: see Assign or Reassign a Credential.
Choose Edit to open the credential edit dialog — one shared dialog used for both Brivo and HID credentials — and update the credential's details. See Edit a Credential.
On Brivo, suspending affects all of a holder's credentials — see Suspend or Unsuspend a Credential.
Credentials are also affected by actions taken outside the Credentials tab. Before you remove a user from a property or community, delete a user, or reset a property, the confirmation dialog warns you exactly who loses credentials as a result — review that list before confirming, and reissue credentials afterward if the loss was not intended. For the full removal and reset-impact treatment, see Delete a Credential Safely.
Click a row to open the credential's detail page: Property, Credential Type, Encoded Value, Reference ID, field values, holder and vehicle information, and the groups or access levels it opens. The page shows the credential's validity window — its Start and End dates, or its permanent status — and lists the holder's other credentials.
If an action described here is missing for you, your role may not include the needed credentials permission — check with your community Admin, or submit a help desk ticket.
