Create an Event
Adding an event to the community calendar is one of the most common tasks a Horizon administrator performs. This article walks through creating a single event from start to finish — filling in the form, categorizing it, and making it recur — plus how to edit or cancel it later and where residents will see it. Before You Begin
You need an account whose role includes event management permissions. Open the Community Admin Center and use the Event Calendar card; if you don't see it, ask a community administrator to review your role. See the Community Admin Center article for how the dashboard works.
Adding the Event
- Step 1: From the admin area, click the New Event (or Manage events) button to open the event form.
- Step 2: Fill in the details:
- Event name — residents see this on the calendar, so make it descriptive.
- Start and end times — include both so residents can plan around the full duration.
- Location — physical or virtual; paste a meeting link into the description if the event is online.
- Description — agenda, preparation instructions, or links to supporting material. You can link documents from the Document Library here.
- Category — for example Board Meeting, Social, or Deadline. Categories help residents distinguish meetings from maintenance schedules and community activities, so apply your community's standard set consistently.
- Step 3: Choose whether the event is one-off or recurring. Use the recurring option for regular meetings and events — it saves you re-entering the same event every month.
- Step 4: Save. The event appears on the community calendar right away.
Editing or Cancelling an Event
Click an existing event in the admin interface to modify its details or delete it. Two tips:
- If an event is cancelled, update its title or description to say so rather than silently deleting it — residents who already saw the event won't be left confused.
- If details change (time, location), edit the event promptly. An accurate calendar builds trust and encourages regular use.
Where Residents See Your Event
- The calendar defaults to a month view; residents can switch to week or single-day views with the toggles in the upper-right corner, and the Today button jumps back to the current date.
- Your event appears as a colored bar on its date. Clicking it opens a pop-up with the title, date and time, location and description.
- A small badge at the top of the calendar shows how many events are scheduled in the current month — every event you add counts toward it.
Tips
- Post early: Add events well in advance so residents have time to plan. For meetings with mandatory notice periods (such as board meetings), publish within the required timeframe.
- Pair with an announcement: For significant events, publish a companion post so the news feed and calendar reinforce each other — see Publish a News Post.
- Attach the paperwork: Upload agendas or supporting documents to the Document Library and link them from the event description.
