The Document Library module serves as the central repository for all of your community's files — governing documents, board meeting minutes, budgets, forms and newsletters. Keeping documents organised and easily accessible builds trust and reduces confusion among residents.
Navigating the Library
- Folder structure: The library opens with a table listing folders and documents. Folders appear with a folder icon and contain subfolders or files. A breadcrumb trail shows your current location so you can navigate back up a level.
- Sort and search: Columns for name, date, type and size help you find documents quickly. Click a column heading to sort, or use the search bar to filter by filename.
Managing the Library (Administrators)
- Create folders: Use the Create Folder button to add new categories. A clear folder hierarchy — such as Budgets, Legal Notices, Meeting Minutes, Forms — makes it easy for residents to locate information.
- Upload documents: Click Upload Document to add files. You can select multiple documents at once. Commonly supported file types include PDF, Word, Excel and image formats. After uploading, confirm the file name and ensure it is stored in the correct folder.
- Rename and delete: The actions column provides options to rename or delete files and folders. Only administrators can remove items, so mistakes are less likely.
- Renaming a folder keeps its contents in place: When you rename a folder, everything inside it — including nested subfolders — is automatically re-pathed under the new name. You do not need to move files manually after a rename.
- Bulk delete: Several documents can be removed in a single bulk-delete action, which is useful when clearing out an outdated set of files.
- Visibility: Administrators can toggle whether an individual document or an entire folder is publicly visible. Use this to keep a file in the library without publishing it to everyone, or to stage material before releasing it.
Best Practices
- Establish naming conventions: Include the document type and date in filenames — for example,
2025-08-05_Board_Meeting_Minutes.pdf. Consistent naming makes it easier to search and recognize documents.
- Keep a clean structure: Avoid duplicating documents in multiple locations. Use folders to group related files and archive obsolete materials to reduce clutter.
- Review visibility: If certain files should not be public (e.g., sensitive financial data), use the visibility toggle on the document or its folder rather than deleting the material. Review visibility settings periodically so nothing is exposed — or hidden — unintentionally.
- Maintain version control: When updating a document, upload the new version and remove or archive the old one. This prevents residents from downloading outdated information.
