Managing Community Users and Residents

This guide is for community staff and Admins who manage accounts in Access > User List and the people lists under Community > Residents.

The Users List

Access > Users ("Manage community users and their roles") offers Search, a Filter dropdown (All Users plus every community role, custom roles included), and a Sort button that cycles A-Z and Z-A by first name. Rows show the person's name, email, and a colored role chip; accounts that were invited but haven't finished setup carry an Invite Pending chip and a resend icon ("Resend invite email").

Creating Staff vs Residents

Click Create User. The dialog has two tabs:

Either way you can attach an optional profile photo while creating the user — it appears wherever the person is looked up. You can also add or change the photo later from the edit dialog.

Under Account Setup, choose Send an invite email (the default — the person sets their own password from the invite) or Set their password now, which reveals Password and Confirm Password fields.

Editing and the Role Hierarchy

Clicking a row opens the Edit User dialog — this list has no separate detail page. You can update the name and phone (Email cannot be edited), change the User Role, and manage properties with Property Action: Add to Property, Update Property Role, or Remove from Property. The hierarchy applies throughout: "This user holds a role at or above your own, so you cannot change them." and "Only JEKA support can change a Super Admin."

Removing a user from a property is not silent: before you confirm, the dialog warns you exactly who loses access credentials as a result, so nothing stops working unexpectedly at the gate.

Delete Rules

The red delete icon is hidden for yourself, for users whose role is at or above your own tier, and for Super Admin holders unless you are JEKA staff. Deleting confirms with Delete User: "Are you sure you want to delete {name}?" — and the confirmation also warns you who loses access credentials before you proceed.

Community > Residents

The Residents tab ("View and manage community residents and users") mixes two record types, filterable as All, Users, or Residents: a user has an account, while a resident is a property occupant record without one. Type chips mark each row USER (blue) or RESIDENT (green), and badges flag active PIN and QR codes.

Clicking a resident row opens the resident's detail page; clicking a user row opens the User Details page, which shows the user's properties, entry history, and audit history, plus a Resend Invite button for pending invites.

Resident rows can be deleted from this list. User rows cannot — you'll see "Cannot delete user from community view. Please delete from property view."
